EuroTeQ Course Catalogue – Privacy Statement

1 Introduction to the Course Catalogue

In the EuroTeQ Course Catalogue, the participating institutions offer courses to each other’s students. We make use of a technology-supported platform to display the available courses. This platform is made available by SURF to facilitate this exchange of courses between institutions in a safe and trusted way.

2 Personal data processing

Personal data relating to you is processed in three ways.

2.1 Visits to the website euroteq.eduxchange.eu

When you visit the website on euroteq.eduxchange.eu, for instance, to browse the range of available courses, your IP address, session ID and the name of the home institution you have chosen will be processed. The data controller responsible for this processing is SURF and these personal data is processed with the lawful basis of legitimate interest. Any queries may be sent to surfeduhub@surf.nl.

Personal dataPurpose
IP addressNecessary for using the internet/webserver. The IP address will be logged for 7 days to be able to track down abuse and issues.
Session IDNecessary for using the catalogus and the creation of anonymous statistics about success ratio. This personal data is only processed in cache and has a very short retention.
Home institution nameNecessary to show the student a relevant list of courses. This personal data is only processed in cache and has a very short retention.

2.2 Registration to courses at the Host Institution

In the first phase of the project, the platform will only display course data. This is public information. The registration for courses does not take place through this platform, but rather through:

  • Email contact with your home institution (TalTech, TU/e, CTU, Technion)
  • A form on your home institution’s website (DTU, LX, TUM)

Your Home Institution and Host Institution will store and use your data for the purposes of the administration of the programme.

Data retention and lawful basis are based on the individual policies of each Host Institution. Both your Home Institution and the Host Institution will independently be identified as the data controller for this processing. Any queries may be sent to:

Important! Sometimes, a Host Institution may require additional information from you to complete the registration. The Host Institution will contact you directly about this.

This work process is expected to change in a later stage, when registration is expected take place through the platform itself. The privacy policy will then be updated.

2.3 Return of the attainment (grade)

After completing the course or learning module, your attainment (usually a Transcript of Records) will be returned to the Home Institution. The same circumstances apply as described in the previous paragraph.

This work process is expected to change in a later stage, when the return of attainment is expected take place through the platform itself. The privacy policy will then be updated.

3 Who do we provide the data to?

Officials from your Home Institution and Host Institution require access to your personal data before they can register you or provide you with teaching. Also, you may be contacted by the project team at some point, for evaluation purposes of this course catalogue programme.

SURF only has access to the data resulting from your visit to euroteq.eduxchange.eu, see 2.1 Visits to the website. Personal data will not be disclosed to other parties.
